Share a document & set permissions

Sharing on Scholardemia is per-document. Nothing is visible to anyone until you share it, and you can always see, and change, exactly who has access from the document’s Share dialog.

Share with a person

  1. Open the document and select Share

    The Share control lives in the document header.

  2. Add people by name

    Search for colleagues on Scholardemia and add them to the document. Each person gets their own role, which you can change later.

  3. Choose a role

    Pick Viewer, Reviewer, Commenter, or Editor, then confirm. People you add are notified in-app.

What each role allows

  • Viewer: read the document.
  • Reviewer: read and leave structured review feedback.
  • Commenter: read, comment, and suggest without changing the text.
  • Editor: full editing of the document content.
  • Owner: everything above, plus managing access and deleting the document. The owner is the person who created it.

Documents under review

Review documents behave differently. While a document is in a journal or event review workflow, reviewers see the submitted version through that workflow; your live draft and its sharing settings stay private. See Send a document for review.

See who has access

The Share dialog lists everyone with access and their role. Changes take effect immediately, and people you remove lose access from their next request.
