Two settings help you manage demand: a waitlist catches people once the event is full, and manual approval lets you curate who attends. They can be used separately or together, and both live in the event’s registration settings.

How the waitlist works

  • The waitlist needs an event capacity and the waitlist toggle switched on. While seats remain, people register normally; once the event is full, they are offered the waitlist instead.
  • Joining works like registering: a ticket choice, any required questions, and optionally a promo code. Each person sees their position in the queue from the event.
  • When a registration is cancelled, the next person in line is invited automatically and notified by email that a place has opened. An invitation reserves the seat while they complete their registration.
  • From the Waitlist tab of the admin console you can also promote someone manually, reorder the queue, or remove an entry; removing an invited entry passes the seat to the next person.

Approval-based registration

With manual approval enabled, each registration is held as pending until you approve or reject it from the participants list. Pending attendees receive a confirmation that their registration is awaiting review, and approval triggers an email. For paid events, payment is collected only after approval, so nobody pays for a place they might not receive. Webinars use the same pattern: the join link unlocks on the event page once the organiser approves the request.

Approval and the waitlist are independent. Capacity decides whether someone lands on the waitlist; approval decides whether a registration is confirmed. See Registration & ticket types for the surrounding settings.
