The workspace shared inbox

2 min readUpdated 10 July 2026Labs, workspaces & billing

The shared inbox at Workspace → Inboxis your team’s front door. Everything addressed to the lab or journal, rather than to one person, lands here where any member with access can pick it up.

What lives in the shared inbox

  • Shared mail: email sent to your workspace’s own address, with a team composer for replies and drafts, once a sending address is set up.
  • Operational items: actionable events raised by the platform or the editorial workflow, such as contact-form messages, manuscript submissions and revisions, news comments and submissions, overdue reviewer alerts, production blockers, and newsletter replies and bounces.
  • Shared chat and channels: team conversations that belong to the workspace rather than to individuals.
  • Shared calendar: the workspace calendar, with events your team manages together.

Triage items as a team

Each operational item carries a status — open, in progress, waiting, resolved, or dismissed — and a priority from low to urgent, so the team can see what is being handled and what still needs an owner. Items link straight to the thing they are about, such as the submission, news article, page, or mail thread, so acting on one is a single click away.

Because statuses are shared, resolving or dismissing an item clears it for everyone. Use waiting when you are blocked on someone outside the team, so colleagues know it has not been forgotten.

If the mailbox is not ready yet

The mail section of the shared inbox needs a workspace sending address before it activates; until then the inbox shows its other sections and explains what is missing. If you have set up an address and mail still does not appear, email support@scholardemia.com.

Still stuck? Talk to a person.

Our support team reads every message. Include what you were doing, any error message, and a screenshot if you have one; it usually saves a round-trip.
