Calendars & recurring events

3 min readUpdated 10 July 2026Projects, tasks & calendar

Your calendar shows everything with a date in one place, with Day, Week, Month, and Agenda views. You can keep several calendars side by side, each with its own colour, and show or hide them individually.

Calendars & sharing

Create separate calendars for separate strands of life: teaching, research, personal. Each calendar can be shared with specific colleagues as a viewer (they can see events) or an editor (they can also add and change them). Sharing a calendar is also what lets colleagues see your free and busy times when scheduling; see Share availability & free/busy.

Events, attendees & reminders

  • Details: title, start and end times or all-day, location, description, colour, and attachments.
  • Attendees: invite people by name or email. Attendees on Scholardemia are notified and can accept, decline, or mark themselves tentative.
  • Meeting links: attach a video meeting to the event; see Schedule Zoom & Google Meet calls.
  • Reminders: the owner and attendees are reminded automatically as the event approaches: the day before, an hour before, and shortly before it starts.

Recurring events

When creating an event, choose Daily, Weekly, Monthly, or Yearly, or open the custom option for full control: repeat every N days or weeks, pick specific weekdays, or use monthly patterns such as the second Tuesday or the last Friday. A series can run forever, until a date, or for a set number of occurrences.

When you edit or delete an occurrence, you choose the scope: just that occurrence, this and all following occurrences, or the whole series. Single-occurrence changes become exceptions and leave the rest of the series untouched.

Working offline? Calendar changes made offline sync when you reconnect, and you are asked to resolve any conflicts if the same event changed in both places.

Still stuck? Talk to a person.

Our support team reads every message. Include what you were doing, any error message, and a screenshot if you have one; it usually saves a round-trip.
