Build the programme

The programme workspace in the event admin console is where a schedule takes shape. You work on a draft, then publish it when it is ready; attendees see the published programme instantly and can save sessions to their own agenda.

Building the schedule

  1. Set the parameters

    Define the conference days, daily start and end times, timezone, and your rooms or tracks (free-text labels such as a main room, a workshop room, or an online track). You can also set default presentation lengths, presentations per session, and break and lunch durations, plus optional opening, keynote, panel, and closing blocks.

  2. Generate a draft, or build by hand

    For conferences, Generate draft distributes the presentation pool of accepted submissions across your days and rooms automatically. You can also add sessions manually, edit titles, times, rooms, types, and speakers, and reorder sessions within the schedule.

    The workspace flags conflicts, such as two sessions overlapping in the same room, before you publish.

  3. Publish

    Publishing makes the schedule live on the public programme page. The workspace shows whether your draft has unpublished changes or is in sync with what attendees see.

Sharing the programme

  • Public page: anyone can browse the published programme by day and track, in a timeline or grid view, with all times shown in the event timezone.
  • PDF: download a printable programme from the workspace.
  • Notify: email registrants and accepted participants that the programme has been updated, with a link to view it.

What attendees can do

From the programme page, attendees can save sessions to a personal agenda, reserve a seat in capacity-limited sessions, set a reminder before a session starts, and export a session as a calendar file. Days and tracks come straight from your schedule, so there is nothing extra to maintain.

Accepted submissions become sessions. If your event runs a call for submissions, accepted work can be published into the schedule with its authors attached as speakers; see Calls for submissions.
